UCIPS is a service specialising in outsourced intellectual property portfolio management (patents and trademarks), operated by SYNAPS Systèmes Sàrl. UCIPS has no separate legal existence; all services are provided and invoiced by SYNAPS Systèmes Sàrl.
I. Definitions
In this Privacy Policy, the following terms have the meanings set out below:
- Personal Data or Data: any information relating to an identified or identifiable natural person (art. 3 let. a FADP);
- SYNAPS Systèmes / We / Our / Us: SYNAPS Systèmes Sàrl, with registered office at Avenue de Champel 28, CH-1206 Geneva, acting as Data Controller and operator of the Website under the UCIPS brand;
- Privacy Policy: this document;
- Services: all outsourced intellectual property management services offered through the Website;

- Processing / process: any operation relating to personal data, including collection, storage, use, modification, disclosure, archiving or destruction (art. 3 let. e FADP);
- User / You / Your: any person accessing and browsing the Website.
II. Purpose and Scope
This Privacy Policy aims to inform You of the conditions under which Your personal data is processed when You use the ucips.ch website. SYNAPS Systèmes, acting as Data Controller, is aware of the trust You place in it.
This Policy applies to all Processing of Personal Data collected in connection with Your use of the Website. It also informs You of Your rights and how to exercise them.
SYNAPS Systèmes may publish links to third-party websites on the Website. In such cases, this Privacy Policy does not apply to those third-party sites, and all liability of SYNAPS Systèmes is expressly excluded to the fullest extent permitted by law.

The Processing of Your Personal Data by SYNAPS Systèmes is governed by the Swiss Federal Act on Data Protection (FADP; SR 235.1).

A. Contact Data
The ucips.ch website does not include a data entry form. The contact button on the Website opens your default email application (mailto: protocol) and directs to the address connect@ucips.ch. No Personal Data is collected directly by the Website in this context.
The information You choose to send Us by email (first and last name, email address, subject of the request, and any information freely provided) is processed by SYNAPS Systèmes for the following purposes:
- responding to Your requests and enquiries relating to the Services;
- fulfilling Our legal or regulatory obligations;
- contacting You or sending You information relating to the Services.
B. Online Appointment Booking
The Website offers an online appointment booking feature via Microsoft Bookings. When scheduling an appointment, the following information is collected:
- first and last name*;
- email address*;
- phone number*;
- subject of the appointment;
- any information provided in a free-text field or during any subsequent exchange related to the appointment.
Fields marked with an asterisk are mandatory to confirm the appointment.
These Data are used solely to organise and confirm the appointment, send You reminders or updates, and ensure follow-up of the agreed services. The legal basis for the Processing is the legitimate interest of SYNAPS Systèmes in organising its consulting activities and honouring its commitments to Users. They may be hosted and processed by Microsoft Ireland Operations Limited (or its affiliates) in the context of providing the Microsoft 365 service, including in countries outside Switzerland or the European Economic Area, subject to appropriate contractual safeguards.
C. Online Diagnostic Questionnaire (Typeform)
The Website offers an online diagnostic questionnaire accessible via the Typeform platform. This questionnaire is designed to assess the User’s needs in terms of intellectual property management. The following information is collected:
- first and last name*;
- email address*;
- company name*;
- phone number;
- answers to multiple-choice questions regarding the situation and needs in terms of intellectual property;
- answers to open-ended questions.
Fields marked with an asterisk are mandatory to submit the questionnaire.
These Data are used for the following purposes: analysing Your intellectual property management needs, providing You with a personalised response, and contacting You in the context of a potential collaboration. The legal basis for the Processing is Your consent, expressed by submitting the questionnaire and confirmed by the consent checkbox. They may be hosted and processed by Typeform SL (Carrer de Bac de Roda 163, 08018 Barcelona, Spain) or its sub-processors, including in countries outside Switzerland or the European Economic Area, subject to appropriate contractual safeguards.
D. Website Usage Data
When You browse the Website, SYNAPS Systèmes may process the following information:
- Your IP address;
- the type of device and browser used;
- Your operating system and its version;
- pages visited, time spent on them, and referring sources;
- frequency and circumstances of use.
These Data are processed in particular to develop and improve the Website, ensure its security, detect potential fraud, and fulfil legal or regulatory obligations.
E. Cookies and Google Analytics
When You use the Website, certain information may be collected in the form of temporary or permanent cookies by SYNAPS Systèmes and/or third parties, including Your IP address, the browser used, pages visited, operating system type, and dates and times of visits.

SYNAPS Systèmes may process any other information You voluntarily provide by email or during an appointment, in particular to respond to Your questions or requests.
G. Other Purposes of Processing
More generally, SYNAPS Systèmes is entitled to process Your Personal Data for purposes other than those expressly mentioned where such Processing is necessary to protect an overriding private or public interest, in particular to assert or exercise its rights, protect its infrastructure, or fulfil a legal or regulatory obligation.
VII. Data Sharing
Your Personal Data are processed by SYNAPS Systèmes in accordance with this Policy and may be disclosed to the following external recipients:
- competent administrative and judicial authorities, to enable SYNAPS Systèmes to fulfil its legal obligations;
- legal auxiliaries in the context of their debt collection activities;
- sub-processors (including IT service providers) and external service providers, strictly to the extent necessary and subject to contractual security and confidentiality guarantees;
- in the event of a sale or acquisition of a business or assets, to the relevant potential seller or buyer.
VIII. Sub-Processors
Your Data may be made accessible or transferred to the following sub-processors, tasked with carrying out certain activities on behalf of SYNAPS Systèmes:
- Google Inc (Mountain View, California, USA): operator of Google Analytics and Google Ads for Website analysis and monitoring;
- Microsoft Corporation (or its affiliates, including Microsoft Ireland Operations Limited): for the provision of the Microsoft Bookings service enabling online appointment scheduling. Data entered are processed and hosted by Microsoft in accordance with its privacy policy (https://privacy.microsoft.com/en-us/privacystatement).
- Typeform SL (Carrer de Bac de Roda 163, 08018 Barcelona, Spain): operator of the online diagnostic questionnaire. Data entered are processed and hosted by Typeform SL in accordance with its privacy policy (https://www.typeform.com/help/a/typeform-privacy-policy-360029259551/). Typeform SL may engage sub-processors located outside the European Economic Area; in such cases, appropriate contractual safeguards are put in place.
SYNAPS Systèmes ensures that these sub-processors provide sufficient confidentiality guarantees and do not process Your Data for their own purposes or for purposes not covered by this Policy.
You may at any time request an updated list of the sub-processors to whom We have entrusted Data concerning You.
IX. Security
SYNAPS Systèmes undertakes to implement appropriate physical, administrative and technical protection measures to safeguard Your Personal Data against accidental loss and against any unauthorised access, use, alteration or disclosure.
Our employees and service providers are subject to non-disclosure and confidentiality obligations.
X. International Data Transfers
In the context of the services described in section VI, some of Your Data may be transferred to countries that do not provide a level of data protection equivalent to that guaranteed by Swiss law, in particular to the United States (Google Inc, Microsoft Corporation) or to other third countries in which Typeform SL may engage sub-processors. In such cases, SYNAPS Systèmes ensures that appropriate safeguards are in place, in particular through standard contractual clauses or equivalent mechanisms recognised by the competent authorities. XI. Users’ Rights
You have the right, at any time and without giving reasons, to:
- request information on which of Your Data are being processed by SYNAPS Systèmes;
- receive a copy of Your Personal Data;
- request the rectification of Your Personal Data;
- withdraw consent given for one or more specific Processing activities;
- request the erasure of all Personal Data concerning You (subject to Data that SYNAPS Systèmes has an overriding interest in retaining).
These requests are free of charge, unless they require a disproportionate effort on the part of SYNAPS Systèmes. They must be addressed to connect@ucips.ch. We will respond within 30 days of receipt.
XII. Retention Period
Unless the data subject requests their deletion, Personal Data are retained for 2 years from the date of collection.
The discontinuation of the Website does not affect the retention period of the Data. If You wish SYNAPS Systèmes to erase Your Data before automatic deletion, You may send Us an erasure request at connect@ucips.ch.
XIII. Governing Law and Jurisdiction
This Privacy Policy, as well as any dispute relating to the Processing of Personal Data collected via the Website, is governed by Swiss law, to the exclusion of conflict-of-law rules.
Any dispute falls under the exclusive jurisdiction of the ordinary courts of the Republic and Canton of Geneva, with recourse to the Swiss Federal Tribunal being reserved.
